What we collect and why
Employer enquiry form
The enquiry form asks for your name, company, work email address and the message you choose to write. When you send it, your enquiry is emailed to us so that we can read and reply to it and discuss recruitment support with you, and an automatic acknowledgement is emailed to the address you entered. Please do not include sensitive personal information, such as health details, in your message.
Our web server does not keep a copy of your enquiry. To prevent spam, repeated submissions and abuse, it keeps limited technical records for each submission: a pseudonymised code derived from your IP address (a keyed one-way value, not the address itself), a code derived from the enquiry content, the time and the delivery status. These records are kept for 7 days and then removed automatically the next time the form is used. Counters used to limit repeated requests expire after 10 minutes.
Spam protection
The form uses a third-party spam-protection check to confirm that a submission comes from a person rather than an automated program. When you use the form, your browser loads this check from the provider, which processes information such as your IP address and technical details about your browser and device. Our server verifies the result before your enquiry is sent.
Email and booking
If you email us, we receive your email address, your message and any details you include. If you use the booking link, the booking is handled by Google Calendar appointment scheduling, and Google receives the details you enter there under its own terms and privacy policy.
Technical information
Like most websites, our web server records technical information about each request, such as IP address, browser type, the page requested and the date and time. We use it to deliver the site, keep it secure and diagnose faults. These server logs are rotated weekly and kept for about five weeks.
The site’s fonts and images are served from the site itself. The enquiry form loads a third-party spam-protection check. Google Analytics and Google Tag Manager are loaded only with your analytics consent.
With your consent, analytics collects information about the pages you visit and your browser and device. We do not send your enquiry-form answers to analytics. We store your cookie choice on your device for 180 days, unless you change it sooner.
Cookies and analytics
We use essential technologies to keep our website secure, prevent spam and ensure it functions correctly.
We use Google Analytics to understand how visitors interact with our website and improve our services. Analytics cookies and tracking technologies are only activated with your consent.
You can accept or reject analytics cookies and change your preferences at any time using our cookie settings.
We do not use advertising or remarketing cookies.
Our lawful basis
We handle this information because it is necessary for our legitimate interests in responding to enquiries from prospective clients, running our business and keeping the website secure.
We use your consent as the lawful basis for analytics cookies and tracking.
Who handles information for us
We use service providers for:
- hosting, which stores and serves the website and handles enquiry-form submissions;
- website security, which protects and delivers the site’s traffic;
- spam protection, which checks that enquiry-form submissions come from people;
- business email, which sends the enquiry-form emails and hosts our mailbox; and
- website analytics, which helps us understand visits when you consent.
We do not sell your personal information. We share it only with these categories of provider, and where the law requires.
International transfers
Some of our service providers may process personal information outside the UK. Contact us if you would like more information about these transfers.
How long we keep information
The form’s technical records are kept for 7 days and the web server logs for about five weeks, as described above.
We normally keep website enquiries and related email correspondence for up to 12 months after our last contact. We may keep relevant information longer where it is needed for an ongoing client relationship or to meet legal obligations. We review it and delete information we no longer need.
Google Analytics user and event data is retained for two months. Aggregated statistical reports may be kept longer.
Keeping information secure
We use secure connections, spam protection and access controls to protect information. No method of transmission or storage is completely secure, but we take reasonable technical and organisational steps to protect personal information.
Your rights
Under UK data protection law you have the right to:
- be told how your information is used;
- access the information we hold about you;
- have inaccurate information corrected;
- have your information erased in certain circumstances;
- restrict or object to our processing in certain circumstances;
- receive certain information in a portable format; and
- withdraw consent at any time, where we rely on it.
To exercise a right, email [email protected]. We will normally respond within one month. If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes and contact
We will update this policy if the way we handle personal information changes, and publish the new version on this page. Questions about this policy can be sent to [email protected].
